Business Support Officer - Housing Renewal Scarborough Town Hall

We are looking to appoint a Business Support Officer to Support the Housing Renewal management team (Housing Standards Manager, HIA Manager and team leaders) on a day-to-day basis with administrative tasks.
You will be based in the Housing Renewal service team and be responsible for the following:
- General administrative support to management team as required, arranging meetings both internal and external, arranging workshops
- Work with current business support officer to facilitate and administrate complex case meetings for HIA booking, preparing pre meeting information, taking and disseminating notes etc.
- Assist with validation and input of licensing applications such as HMOs.
- Attend and engage in team meetings (note taking for internal and external meetings)
- Raise purchase orders and invoices and arrangement payment of invoices to the teams
- Support with the triage of housing standards referrals and management of shared email
- Creation of new cases on case management systems (inc document creation and folder maintenance on sharepoint)
- Support with data cleansing tasks
- Supporting with data collation for KPIs, FOIs
- Send correspondence to residents (using standard templates) to confirm/ request additional information.
- Track and review the return of requests for information and evidence by officers. Supporting officers to ensure all criteria are met and necessary documentation is collected
- Log details of eligible residents and their applications on the case management system. Ensure all information is up-to-date and accurately reflects the current status of each application
- Help organise resident engagement events and other promotional activities to raise awareness of housing renewal services inc landlords forums
You will be a critical member of the Service, supporting the administration involved including uploading information and documents onto the data management system, organising meetings, raising purchase orders and invoices, and supporting the Head of Service, Managers and Team Leaders.
To be successful you must have good keyboard skills and experience in Word, Excel, Databases and Outlook. You must also have good literacy and numeracy skills, be able to prioritise your own workload, be conscientious, well-organised and have the ability to work independently whilst part of a small team.
During the training period you will be required to work in the office (Scarborough Town Hall) 5 days a week Monday to Friday. Once training is complete you will have to work in the office three times a week.
